This organisation is seeking an experienced and highly organised Executive Assistant to create a seamless and supportive environment. The ideal candidate will provide top-tier administrative support to a Senior Manager and oversee office operations in Auckland. 

In this pivotal role, the Executive Assistant will provide exceptional support to the, playing a key part in ensuring the smooth operation of the Auckland office. They will be responsible for a variety of tasks, from managing diaries and correspondence to coordinating meetings and events. Additionally, they will work collaboratively with the wider team to develop and maintain efficient administrative services across the organisation. 


Skills and Experience: 
  • Extensive experience as an Executive Assistant to senior leadership, with a proven track record of success. 
  • Familiarity with supporting Boards and/or Board Committees, showcasing your understanding of governance processes. 
  • Solid knowledge of governance principles and a broad understanding of project management. 
  • Exceptional ability to manage competing priorities and excel in a fast-paced, dynamic environment. 
  • Impeccable communication skills (written and verbal), ensuring clear and concise information delivery. 
  • Mastery of the Microsoft Office suite (Word, Excel, PowerPoint) and proficiency in digital communication tools. 
  • Keen eye for detail and a commitment to delivering high-quality work, every time. 

Role Responsibilities 
  • Provide seamless administrative support to the Director Corporate Services, ensuring the smooth execution of their duties. 
  • Manage all travel arrangements for Auckland and Wellington staff, securing optimal pricing and itineraries. 
  • Oversee the Auckland office, maintaining strong relationships with suppliers and ensuring a well-equipped and functional workspace. 
  • Coordinate meeting schedules, prepare briefing materials, and maintain organised documentation for effective communication. 
  • Ensure the utmost confidentiality of sensitive information and documentation. 
  • Internal project administration when required. 
  • Provide backup support to the Executive Assistant to the Chief Executive with Board-related activities as required.
